Chair 
 
The chair must ensure that the project committee functions properly, that there is full participation during meetings, that all relevant matters are discussed and that effective decisions are made and carried out. 
 
  • Must maintain an overview of the youth projects aim's and activities
  • Must ensure the governing document is always complied with and only activities that plan to achieve the charitable purposes (aims) are allowed
  • Is responsible for making sure that each meeting is planned effectively, conducted according to the constitution and that matters are dealt with in an orderly, efficient manner. The Chair must make the most of all committee members, building and leading the team
  • May from time to time be called upon to represent the organisation and sometimes be its spokesperson at, for example, the Annual General Meeting, functions or meetings
  • Must ensure that the Project's financial dealings are prudently and systematically account for, audited, or independently examined and publicly available. The chair is required to act as signatory on the Committee's bank account and will be required to authorise and countersign payments from that account together with either the Treasurer or Secretary
  • Must ensure that any new committee members are made to feel welcome and are properly inducted into the team, providing them with the necessary information so they are able to understand their role and responsibilities
  • Must be prepared to participate in fundraising for the Youth Project. 
  • Provides link between the local community and the Youth Project.
 
Secretary 
 
The Secretary often acts as an information and reference point for the Chair and other Committee members; clarifying past practice and decisions; confirming legal requirements and retrieving and maintaining relevant documentation. 
 
  • In consultation with the Chair and Youth Worker, ensure meetings are effectively organised and minuted, i.e., producing an agenda and communicating with all Committee members to confirm attendance
  • Ensures that all Committee members are provided with a copy of the minute, including any absent members to ensure they are kept up to date
  • Ensures that a copy of the Constitution, copy minutes and other records are kept securely and in accordance with Data Protection Law (2028)
  • Undertakes any administrative duties which are required by the Committee
  • Is required to act as a signatory on the Committee's bank account and will be required to authorise and countersign payments from that account together with either the Chair or Treasurer
  • Is prepared to participate in fund raising for the Youth Clun
  • Promotes and/or publicises the work of the Youth Project
  • Provides links between the local community and the Youth Project
 
Committee members
 
The role of the Youth Project Committee is to meet regularly, in line with the constitution and promote the work of the Youth Project and a positive image of young people. A Committee member helps identify and secure funding and resources and ensures that the Youth Project is accountable. 
 
  • Is prepared to be a full and active participant during Committee meetings and activities
  • Regularly attends board meetings and important related meetings
  • Stays informed about committee matters, prepares themselves well for meetings, and reviews and comments on minutes and reports
  • Is prepared to participate in fund raising for the Youth Project
  • Promotes and/or publicises the work of the Youth Project
  • Provides links between the local community and the Youth Project
  • Offers any expertise possessed on specific issues
